Before an invoice is generated, it is usually preceded by an order and the delivery of a service. It is precisely this context that is crucial for subsequent reviews and approvals. In billbox, invoices arrive in various formats: traditionally on paper, as a PDF via email, or already as a structured e-invoice. Paper invoices are digitized in certified scanning centers to create a legally compliant digital copy. PDF invoices already contain digital data but must also be processed in a structured format. Only structured data enables efficient, automated further processing.
billbox extracts relevant invoice information such as amounts, tax rates, and line items, checks them for formal, arithmetic, and tax compliance, and detects duplicates as well as potential fraud attempts. After the automatic verification, the content is approved—either directly within the billbox workflow or via integrated ERP systems. The invoice is then posted and approved for payment, often following the dual-review principle.
While the actual processing often takes only a few minutes today, invoices remain with companies for many years: Legal retention requirements make secure digital archiving essential.
